This privacy policy explains how Satai Investments Ltd (company number 16500522), trading as SATAI PRO (“we”, “us”), handles personal information when you use:

• Our public website at sataipro.com
• The management platform at manage.sataipro.com
• The Satai Store mobile app (iOS and Android)
• The Satai Pro mobile app (iOS and Android)

One policy covers all of these products so it can be used for Google Play and the Apple App Store. Where a restaurant customer (the store owner or franchise) controls staff data inside the platform, that customer is typically the data controller for day-to-day staff records; we process that data to provide the software. Website marketing enquiries are controlled by SATAI PRO.

Our apps

• Satai Store — on-site store / tablet app used for pairing a location device, staff clock-in and related floor operations. Opens the live store experience at sataipro.com/tablet.
• Satai Pro — owner, manager and franchise app for signing in to the management platform at manage.sataipro.com.

Both apps may request device permissions only as needed for features you use. You can deny a permission in your device settings; some features (for example camera clock-in) will not work without it.

Information we collect

Website (sataipro.com)

• Enquiry information: name, restaurant or group name, email, phone, role, number of locations, interests and message content.
• Privacy-friendly website analytics: pages viewed, referral source, campaign tags, approximate device type, screen size and anonymous session activity. We do not store your raw IP address in our internal analytics table.
• Technical security logs: hosting providers may temporarily process IP addresses, browser details and request logs to operate and protect the site.
• Optional Google Analytics: only if configured and you accept analytics cookies.

Platform and apps (Satai Store / Satai Pro)

• Account information: username or email, password (stored hashed), role/permissions, and profile details you or your organisation enter.
• Store and operations data: site details, rotas, clock-in/out records, checklists, hygiene and training records, messages and other information entered into the product.
• Camera / photos: where enabled (for example staff clock-in selfies or checklist evidence), images captured on the device are uploaded to our servers for the store’s records and security review.
• Location: where the feature is enabled and you grant permission, approximate or precise location may be collected to support store operations or security (for example confirming activity near a site). Location is not used for advertising.
• Push notifications: if you enable alerts, we store a device push token so we can send operational notifications (for example clock, checklist or franchise alerts). Tokens are used only to deliver those alerts.
• Device and technical data: app version, device type, operating system, diagnostic logs and network information needed to run and secure the service.

How we use information

• To provide, operate and improve SATAI PRO, including the website, management platform and mobile apps.
• To authenticate users, pair store devices and enforce access controls.
• To support store operations (timekeeping, compliance checks, reporting and alerts).
• To respond to demos, support and sales enquiries.
• To prevent fraud, abuse and security incidents.
• To meet legal and regulatory obligations.

We do not sell personal information. We do not use camera, location or push data for third-party advertising.

Our lawful bases (UK GDPR)

Depending on the context we rely on:

• Contract / steps to enter a contract — providing the software to customers and responding to serious sales enquiries.
• Legitimate interests — securing the service, improving the product, limited first-party analytics, and operating store features requested by the customer.
• Consent — optional website analytics cookies; certain device permissions (camera, location, notifications) are granted or refused in the OS.
• Legal obligation — where the law requires us to keep or disclose information.

Permissions (iOS and Android)

The apps may ask for:

• Camera — photos for clock-in or operational evidence.
• Location — only when a feature needs it and you allow it.
• Notifications — optional operational alerts.
• Network / internet — required to sync with SATAI PRO servers.

You can change these in iOS Settings or Android app settings at any time.

Sharing and processors

Information may be processed by providers that help us run the service, for example:

• Hosting and infrastructure
• Email delivery
• Payment processors (where billing features are used)
• Push notification providers (for example Apple Push Notification service and Firebase Cloud Messaging on Android), when push is enabled

These providers act on our instructions and only as needed to provide their service. Some processing may occur outside the UK/EEA with appropriate safeguards.

Cookies and local storage (website)

The website's internal analytics is designed to work without advertising cookies. A temporary identifier may be held in session storage. Your optional analytics preference may be saved in local storage.

If Google Analytics is configured, it remains off until you select Accept analytics. Rejecting optional analytics does not stop you contacting us.

How long we keep information

We keep information only as long as reasonably needed for the purposes above, including contract, support, security and legal requirements. Store operational records (including clock photos where used) are retained according to the customer’s operational needs and our retention practices. You or your organisation’s administrator may request deletion where applicable. Hosting security logs follow the hosting provider’s policies. Aggregated analytics that no longer identify a person may be kept longer.

Children

SATAI PRO and its apps are intended for business use by restaurants and their staff. They are not directed at children under 13, and we do not knowingly collect personal information from children for marketing.

Your rights

Under UK data-protection law you may have rights to access, correct, erase, restrict or object to certain processing, and to withdraw consent where we rely on it. Contact info@sataipro.com.

If you use SATAI PRO through your employer or franchise, you may also need to contact them, as they may control your staff record.

You can complain to the UK Information Commissioner’s Office at ico.org.uk.

App Store and Google Play
